Retainer

How deposits and fees work.

MT&C runs on a flat retainer. The retainer covers our planning time and concierge work. Trip costs (flights, hotels, restaurants, transit) are paid by you, directly to providers — at the rates we secure.

Step 1

You pay MT&C a retainer

A flat fee covering our planning time, vendor outreach, and concierge work — start to finish.

  • $500 Flat for Solo / Couple / Group without Host
  • $2,500 per person for Group with Host
  • Pay upfront, or split into monthly installments
Step 2

We secure your itinerary

We design the trip, hold the rooms, book the tables, and lock in rates with our partners on your behalf.

  • Flights, hotels, ryokan, and transit
  • Restaurants and hard-to-get reservations
  • Tours, guides, and special access
Step 3

You pay providers directly

Trip costs go straight to the airline, hotel, or restaurant — at the rates we negotiated for you.

  • No markups, no hidden fees
  • Receipts come to you, not us
  • Cancel or modify on each provider's terms

Offers & specials — any seasonal promotions, partner credits, or bundled discounts are applied automatically at checkout. You'll see them itemized on your invoice before any charge is made.

Bespoke & Enterprise — these are unique situations and handled the same way. The first step is booking a call and securing the rate; payments are then scheduled according to best practices.

The retainer covers

Your planning, end to end.

  • Discovery — a working call to understand your travelers, vibe, and non-negotiables.
  • Trip design — a custom itinerary with cities, neighborhoods, lodging, and experiences mapped to the people on the trip.
  • Vendor outreach — we contact hotels, ryokan, restaurants, guides, and transit operators on your behalf.
  • Reservations — we hold the rooms, book the tables, and secure the hard-to-get experiences.
  • Concierge during travel — a direct line to your trip planner from departure to return.
What you pay providers

Trip costs, billed directly.

  • Flights — paid to the airline (or its booking partner) at the fare we hold for you.
  • Hotels & ryokan — charged by the property, on the rates we negotiated.
  • Restaurants — paid by you on the night, in cash or card per the venue's terms.
  • Transit, tours, and guides — paid to the provider on the dates and terms each operator sets.
  • Receipts & cancellations — handled between you and the provider, so you keep the records and the flexibility.
